How to Convert Excel to PDF (2026) - Step-by-step tutorial with visual examples

Converting an Excel spreadsheet to PDF is straightforward in principle but produces surprisingly inconsistent results depending on how your spreadsheet is set up. Columns get cut off, the print area includes more or less than you intended, or the formatting shifts in ways that look fine on screen but wrong on paper.

This guide covers how to get clean PDF output from Excel and how the main free tools compare.

What Usually Goes Wrong

Columns cut off at the page edge are the most common issue. Excel's default print settings fit content to however many pages it takes, which sometimes means wide spreadsheets split across multiple PDF pages in awkward places.

Print area not set correctly causes PDFs that include empty rows and columns or miss data that is off to the side. Setting the print area explicitly in Excel before converting avoids this.

Gridlines missing or included unexpectedly depending on the print settings in the source file. If you want gridlines in the PDF, enable them under Page Layout, Sheet Options in Excel before converting.

Headers and footers set in Excel's page setup sometimes appear in the PDF output and sometimes do not, depending on the converter. If header and footer content matters, check the output carefully.

Converting Excel to PDF Using PDFHaul

Go to excel to pdf, upload your .xlsx or .xls file, and download the PDF. No account is required. Files up to 50MB are supported and automatically deleted after two hours.

For the cleanest output, set the print area in Excel before uploading: select the cells you want in the PDF, go to Page Layout, Print Area, Set Print Area. This tells the converter exactly what to include.

When to Use Excel's Built-in Export

If you have Excel installed, File, Export, Create PDF/XPS gives you the most control over the output. You can set the page orientation, scaling, and print area precisely, and preview the output before generating the PDF. Use online tools when you are converting someone else's file or working on a device without Excel.

Frequently Asked Questions

My columns are getting cut off in the PDF. How do I fix it?

Set the print area in Excel to include only the columns you want, then re-upload. Alternatively, go to Page Layout in Excel, set Orientation to Landscape, and use Fit to 1 page wide before converting.

Can I convert multiple sheets in one Excel file?

PDFHaul converts the active sheet. To convert multiple sheets, convert each one separately or use Excel's built-in export which can include all sheets.

Will the formatting look the same in the PDF?

Cell colors, fonts, and borders generally transfer correctly. Complex conditional formatting and some chart types may render differently.
